Why we have this policy

This notice explains what personal data we collect, why we collect it, how we use and share it, how long we keep it, and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 (DPA 2018). We review and update this notice from time to time. If we make material changes, we will highlight them.

What data we collect

We act as the data controller for data collected via our website and through sales and service activities. We may collect: name, business email address, phone number, job role, Why ProtekCyber name, the contents of your enquiry, and any information you provide in communications (email, phone, social media). For managed security services we may process technical identifiers that can be personal data in context (for example IP addresses, log events, and support call recordings). We do not intentionally collect special category data via the website.

How we use your data and our lawful bases

  • Responding to enquiries and providing quotes: Legitimate Interests and pre-contract steps.
  • Service delivery, support, and account management: Contract.
  • Security, fraud prevention, and service reliability: Legitimate Interests.
  • B2B marketing to corporate contacts with an opt-out in every message: Legitimate Interests under UK PECR, or Consent where you opt in.

How we share your data

We share personal data with trusted service providers who help us operate our organisation (for example website hosting/CDN, email and productivity tools, customer relationship and billing platforms). We only share what is necessary for each purpose and under appropriate contracts. We do not sell personal data.

How your data is stored and secured

We process personal data securely at rest and in transit. Where we use third-party or cloud solutions, data is protected with encryption and access is restricted using multi-factor authentication and/or single sign-on. How long we keep your data

  • Enquiries and sales correspondence: up to 24 months after last contact.
  • Client records, contracts, and billing: up to 6 years after contract end (for legal and accounting obligations).
  • Website logs and security records: up to 12 months.
  • Support call recordings (if used): up to 12 months.

We may keep data longer if required by law or to establish, exercise, or defend legal claims.

Your rights

You have the right to request access to your personal data; rectification of inaccurate data; erasure; restriction; objection (including to direct marketing); and data portability.
